 Printing and Collateral Materials

When possible, recycled paper requested/used
For printing, soy based inks.

Minimize all printed materials, in any/every way possible.

Source control: only order as many as will be used
Move everything possible to electronic media, without negatively impacting marketing and attendance, or the attendee learning experience.

Request graphics and design crew to innovatively shrink the carbon footprint and resource utilization by shrinking the size of the proceedings manual, save the date pieces, compact registration flyers, etc.

Produce handouts on flash memory devices.

Consolidate sponsor table space to encourage carefully selected and proportionately appropriate handouts and giveaways.




 Food and Beverage

Menu derived from in season produce.

Chef encouraged to buy local.

Bulk servings for condiments.

Venue decor preference to linen over paper products, silverware rather than plastic ware, non-living centerpieces.

Recycling options requested/explored for plastic and aluminum products.

Event Production

Encourage car pooling/ride sharing

Choose central location from all points in the Valley

Seek local subject matter experts for topic requests when possible

Unified charging station to manage plug load.

Consideration of carbon offsets in future budgets.. 

For now, attendee surveys will be "tweaked" to gather on travel distance and car pooling results

We will set a benchmark for next year by estimating our footprint this year.

Seek vendors who exhibit best practices for sustainability.

Introducing our Community Lounge.

Move to on line registration, electronic evaluations of speakers and the Summer Forum as a whole, on line merchant system, combined name tag with conference proceedings manual.

Market sustainability component in advance, prepare attendees to plug in (or not) during break out sessions.


Continual dialogue on the tone/feel of the day through Poll Everywhere


Carefully defined and prominently labeled learning/topic tracks for attendees


At the door and Event membership sign ups will be on line ... lose the paper processes!
